Over $30,000 a month from collecting phone numbers via email
Client journey in brokerage companies:

A lead comes from some type of traffic → A manager calls them → The lead becomes a client (or doesn’t). Somewhere between “left their contact details” and “paid the money,” the lead always receives newsletters that enhance their trust in the company and persuade them to work with this particular broker.

But there is one problem. Without a call center manager, it’s impossible to close the client for payment due to the nature of the business structure. Some clients leave incorrect phone numbers, making it much more challenging to work with them.
How does this happen?

At the lead generation stage, the client lands on a landing page where, in exchange for their phone number and email, they receive a "perk" (for example, a trading book). They provide a correct email to receive the book but an incorrect phone number to avoid calls.

So, what do we have:

- The sales manager cannot call to sell the product.
- The email marketer must convince the client to provide their phone number so the manager can close the sale.

In this case, an essential intermediate step emerges. We’re not just telling the client via email how great we are and why they should work with us. We are leading the client to give us their phone number.

HOW?

First, we need to understand through which promotion they came. Who is our lead?

- An automation and robots enthusiast?
- A knowledge-seeking potential investor?
- A seeker of easy money?

Depending on what they are more inclined towards (their traffic source), they enter one of the funnels specifically designed to capture their phone number.
I For example, for those who want to learn trading, we had a funnel like this:

We didn’t just send a welcome email; instead, we sent a campaign of messages announcing that we had released an *amazing new book on investing* (created specifically based on requests from the email marketing department, so it was unavailable anywhere else).



When the client clicked the “I Want the Book” button, they were directed to a landing page where we provided more details about the questions the book answers. After clicking the “Get the Book” button, they were shown a pop-up saying, “We will send the link via SMS. Please leave your phone number.”

And that’s it! The penny-pincher trades their phone number for a book/guide/planner → They get a call from the manager → The lead becomes a client.
P.S. We were concerned that too many CTA transitions might cause irritation, but the unsubscribe rates and click-through metrics stayed within the normal range.

If the client didn’t provide their phone number, they received an email about an audiobook after 5 days, a guide on investing after another 5 days, and a book on cryptocurrencies after yet another 5 days.

The only way to exit the funnel was either by providing us with their phone number or after all the emails had been sent out.

By the way, less than 0.1% unsubscribed, and we made an exception for them and let them out of the funnel.

We tested the length of this campaign from 2 to 8 emails and ultimately settled on 4, as people started to lose interest by the 5th email.

What were the results:

  • 15% of those who entered the funnels ended up providing their phone number.

  • Overall, from these funnels, we earned around $30,000 per month, and that’s just from the leads who didn’t leave their phone number!
This is an unconventional approach where the main goal of email marketing wasn’t just to build loyalty and drive sales but to coax out phone numbers.

But even with this unique strategy, email marketing performed exceptionally well.

Gmail Reputation: How we transformed it from Bad to Good
The investigation begins

I started to investigate what had led to such a drastic decline in reputation.
At that time, the emails were sent out in three directions:
  • Conversion (non-payers who confirmed their email)
  • Retention (payers who confirmed their email)
  • Cold Outreach (potential clients who had no prior knowledge of the sender)

Of course, different domains and IP addresses were used for these purposes. The main domain, where the website was hosted, was used for subscribers, while additional domains were created specifically for cold outreach.

It turned out that the email marketer had mixed up the domains, sending out several mass spam campaigns from the main domain, which quickly "buried" the reputation of the main domain with all email providers.


Reputation recovery. The first steps

First, we had to warm up an additional domain (given how bad things had been, we could afford to delay it for another month). In August, all email campaigns to the warm list were moved to the new domain, while the main one was put on hold for recovery.

We initially let it rest for 1 week before getting to work.

  • We added the domain to the warming process in warmup and constantly monitored the progress. The first 14 days showed no positive changes, but starting from day 15, the Reputation Score began to improve from bad to low. By day 28, we finally saw a score above 70. However, the reputation in Gmail’s Postmaster was still poor.














  • Without turning off the warmup, we reintroduced the domain to the ESP. However, we put it on a very small volume to continue warming up the domain + IP combination. We sent emails only from our top-performing campaign with a high open rate.
By the time of the audit, it had been over 5 months since that mistake. It was almost a fatal situation, but the management was adamant about not changing the main domain.
“Let’s fix this!” they said.
“Well, let’s get started…” I mumbled, bracing myself for the challenging process ahead.

Reputation recovery. Initial successes

  • Within about a month, we increased the volume by nearly 15 times. While it was still relatively small on a broader scale, (Hallelujah!) there was a shift in Postmaster. By the end of September, our reputation had improved to Low. Then it dropped back to Bad. And then it was Low again (oh, Gmail, you jokester…).
When I joined the project, I discovered during the audit that one of the domains had a Bad reputation and the average Open rate was only 4%.
“Wow, this is a real challenge,” I thought to myself at the time.

  • When our reputation had improved a bit, we decided to write a “please help us” letter to Gmail. We explained that we met all their requirements, were only sending to DOI lists, and genuinely wanted to restore our good reputation. In other words, we asked for their help.
We didn’t receive a response, so we just continued doing our job. Authentication was set up, the list was cleaned and validated, the open rates were stable, and the domain was still being warmed up.

The light at the end of the tunnel

After 20 days, we saw the Reputation Score reach Medium. Our joy knew no bounds. We continued to ramp up the volumes and gradually moved all campaigns back to the main domain. We kept a close eye on the metrics for each mailbox individually and tested every email we sent.
Fortunately, there were no setbacks.
In December, we finally saw the long-awaited “Good Reputation” status, and it has remained that way to this day
E-commerce audit
What the audit includes:

  • Analysis of email performance metrics within the Klaviyo dashboard
  • Analysis of the configured logic of existing campaigns
  • Checking sent emails for spam filter deliverability (stylistic and technical components)
  • Verification of technical settings in the domain's DNS zone
  • Verification of the quality of the email list (checking for suspicious, blocked, and unreachable emails, as well as spam traps)
  • Testing the domain's reputation with major email providers such as Gmail, Outlook, and Yahoo (the list of providers is identified during the audit)
  • Checking the domain for blacklisting
  • Checking the IP address for blacklisting
  • Identifying the causes of low email campaign performance and deliverability issues, along with step-by-step recommendations for resolving these problems
What the client received in the end:

We thoroughly examined their DNS zone, contact database, all active campaigns, subscription forms, email content, and technical aspects. We provided detailed recommendations on how to improve each of these elements.
A client came to me with this request: “We have some email campaigns set up, but we’re not sure if they’re working well. We set them up ourselves; could you check how things are going?”
I’d like to start by saying that an audit is a thorough examination of all aspects of email marketing, from the technical details to the visual elements. During the audit, my team and I dive deep into everything present in the client’s account to provide the most comprehensive feedback on what can be added or improved.

In addition to providing the client with 58 pages of in-depth analysis of their current situation and step-by-step improvement recommendations, we also prepared a strategy for them.

Our Updated Strategy Goes Beyond Just Email Campaigns. We recommended expanding the communication channels to include SMS and web push notifications to more effectively engage with the audience.

After sending the audit report, we also scheduled a call with the client to thoroughly explain each step of the audit process and discuss the findings in detail.

How we created a “modern design“

The client came to us with the request: “We’ve been in the market since 1993, and our emails reflect that. We need to update our email template to make it more modern, because the current one is outdated.”
To get on the same page and inspire a fresh direction, we created a mood board for the client. This helped us agree on the types of blocks we would design and the style we would follow.
